I Who we are

Vyncast is a digital display solutions company based in Ontario, Canada, being established to serve businesses across the country. This Privacy Policy explains how we handle the personal information you provide when you interact with our website at vyncast.com, submit our contact form, email us directly, or otherwise engage with us.

In plain terms: we collect the minimum information needed to respond to your enquiry and build our business. We don't sell your data, we don't share it with advertisers, and we don't track you across the internet.

II Information we collect

We collect two categories of information.

Information you give us directly

When you fill out our contact form or email us, we collect whatever you choose to share. This typically includes:

  • Your first and last name
  • Your company or business name
  • Your business email address
  • Your business type (retail, restaurant, franchise, etc.)
  • The message you send us, including any details you choose to include about your business or needs

Information collected automatically

When you visit our website, our hosting provider (Netlify) automatically collects basic technical information every web server receives — your IP address, browser type and version, the pages you visited, and the time of visit. This is standard server-log data and is used to keep the site running, detect abuse, and understand broad traffic patterns.

What we don't collect: We don't use analytics trackers, advertising pixels, or third-party tracking cookies on vyncast.com. We don't build behavioural profiles, and we don't track you across other websites.

III How we use your information

We use the information you give us for specific, limited purposes:

  • To respond to your enquiry. When you submit the contact form, we read your message and reply to the email address you provided. That's the primary purpose.
  • To follow up professionally. If our conversation progresses, we may keep your contact details to follow up on proposals, schedule calls, or discuss your project.
  • To deliver on our commitments. If we work together, we'll use your information to coordinate the engagement — scheduling, communication, and invoicing as needed.
  • To improve what we're building. Aggregate insights from enquiries (what industries are reaching out, what needs are coming up) help us shape our offering. This never involves identifying individuals.
  • We do not use your information for advertising, marketing automation, profiling, or any purpose you wouldn't reasonably expect from a genuine business enquiry.

IV How we share information

We do not sell your personal information. We do not share it with advertisers, data brokers, or unrelated third parties. The only times your information is shared are:

Service providers we use to operate

Like most modern businesses, we use a small number of trusted providers. These include:

  • Formspree — processes contact form submissions and forwards them to our inbox.
  • Netlify — hosts our website and handles DNS.
  • GoDaddy — provides our email infrastructure for info@vyncast.com.
  • Google Workspace / Microsoft 365 — may be used for email, documents, and scheduling.

Each of these providers has their own privacy practices and handles data under their own terms. We've chosen them because they meet professional standards for data protection.

Business transfers

If Vyncast is ever merged, acquired, or reorganised, personal information may be transferred as part of that transition. Any new owner would be bound by the same protections described here.

V Storage & retention

Your information is stored on systems operated by our service providers, primarily located in Canada and the United States. Cross-border data handling is inherent to modern cloud services, and we've selected providers that offer strong security and compliance standards.

We keep your information only as long as we have a genuine reason to. Specifically:

  • Contact form submissions: Retained in our email for the duration of our conversation, and archived for a reasonable period afterward to maintain business records.
  • Engagement records: Retained for as long as the relationship is active, plus a reasonable period after to maintain accurate records.
  • Server logs: Retained briefly (typically 30–90 days) by our hosting provider for security and operational purposes.

When information is no longer needed, we delete or anonymise it.

VI Your rights

You have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Delete your information where we have no ongoing reason to retain it.
  • Withdraw consent for us to contact you at any time.
  • Request a copy of your information.

VII Cookies & tracking

Our website does not use tracking cookies, advertising pixels, or behavioural analytics. We don't load third-party scripts that follow you around the internet.

The only technical items our website uses are:

  • Essential functional state — temporary session data needed for the site to work correctly in your browser.
  • Fonts loaded from Google Fonts — for typography. Google may log your IP address when fonts are requested; this is standard behaviour for any site using hosted web fonts.

If you'd prefer stricter privacy, most modern browsers let you block third-party font loading and the site will fall back to system fonts automatically.

VIII Security

We take reasonable and appropriate measures to protect your personal information against loss, unauthorised access, disclosure, or modification. These include:

  • HTTPS encryption across our entire website
  • Password-protected accounts for all our service providers
  • Multi-factor authentication on key business systems
  • Access controls — only people who genuinely need your information can see it
  • Regular review of our service providers' security practices

No system is perfectly secure, but we take our responsibility seriously. If a data breach ever occurred that posed a real risk to you, we would notify you as quickly as possible.

IX Children's privacy

Vyncast is a business-to-business service. Our website and services are not directed at individuals under the age of 18, and we don't knowingly collect information from minors. If you believe a minor has submitted information to us, please contact us and we'll delete it promptly.

X Changes to this policy

We may update this Privacy Policy from time to time as our business evolves. When we do, we'll update the "Last updated" date at the top of this page. We recommend reviewing it occasionally if privacy matters to you.
